Performers: How Night Out Works

If you are booked through the Night Out scheme, this page explains the process.

1. Getting registered

On our website we offer ideas of shows promoters can book, along with the performer's contact details. To be added to this database of shows, you need to email your information to Night Out. If suitable, we will contact you to give a login to this website. It is not useful to have an unlimited number of shows on the site, so please note that we do not set up all performers.

Once we have given you a log in you can complete your details and 'Add a show' and this will be visible on the web site based on the availability dates. You can also complete any report forms from your portal. 

Some promoters book one off event from performers not registered, that is fine and in these cases the promoter must provide us with your full contact details in order to submit a booking. In these cases your report forms can be submitted by e mail.

2. Bookings

If interested, promoters will contact the performer directly to check the show is suitable, the cost is affordable and any other technical requirements (including appropriate performance space and get in times). The promoter will pencil in a suitable date and apply to Night Out for support. We are usually able to agree whether the booking can go ahead within three weeks of receiving the application. Confirmation of support is emailed to the promoter and performer by Night Out.

Night Out guarantees to pay the performer fee, but the performer needs to liaise directly with the community promoter to ensure everything else is fine, including get in, arrival time and provision of posters and publicity. Hospitality arrangements including food and accommodation requirements should be arranged well in advance, however Night Out promoters may not able to provide overnight accommodation. Please be aware that Night Out works in many areas of social deprivation and these promoters may not be financially able to provide large meals etc.

The promoter takes responsibility for marketing and hosting the show on the night. They buy into the experiences. No promoter wants a flop on their hands - they have to live in the community! This can mean people play safe with choices, but good marketing, and great artists help overcome this.

3. Payment

After the show you will need to fill in a short Performer Report form on the event and e mail an invoice, addressed to Night Out/ Arts Council of Wales, quoting your Booking Id and order number to invoices@nightout.org.uk. We pay by Bacs transfer and generally have a payment run each Wednesday. No payment is made until we get your report form back.
