Promoters - Frequently Asked Questions
How many shows can I book?
As a rough guide our funds allow promoters to do up to 4 shows a year (1 April to 31 March) through the scheme but this is a flexible figure depending on our available budget. As Night Out operates as a guarantee against loss if promoters do well on ticket sales our subsidy is less and the more funds we have in the pot to support additional requests. We try and support activities across Wales so also look to prioritise events in areas with little activity or funding. We don't normally accept applications for multiple nights unless there is clear evidence of demand for one event.
Can you have more than one performer on a booking?
Yes we are happy to support an evening with additional performers, and can pay a fee to more than one artist. Any finances are worked out on the combined fee paid out. Each artist to be paid must be added as a new performer when booking.
Do I need a license?
The simple answer is it depends on the type of event and other factors such as if you are selling alcohol. Your local authority is best placed to advise on this.
A small concert, finishing at a reasonable time often does not need one but if you are using a community hall that may have specific regulations or agreements with the council on the number of activities they can run. Temporary Event Notices can be applied for from your local council, normally costing £21 and they must be applied for at least ten working days before the event so allow plenty of time.
Can you recommend shows?
You can use our Shows to Book Section to get ideas on shows that are available and touring. Please get in touch with us in the office if you have specific requests or want to discuss ideas. We also hold online promoter meetings when we invite performers to talk about shows they are planning.
Can we book artists not listed on your website?
Yes as long as they are happy to invoice us, not a tribute band, choir or pantomime. You will need to have a contact name, email and phone number and must submit a Show & Performer Creation Request form on our website through your Promoter portal. We will then contact them and set them up on our system after which you can then make the booking application.
What about other costs of the event?
Night Out will pay the performer fee, we don't pay for PA or other costs however you can let us know about the other costs you are incurring. We are organising a fundraising event, can we use Night Out?
Yes you can raise money from the event for good causes but remember ticket sales come back to Night Out to cover the performer fees, so your main fundraising will be from sale of food and drinks or raffles.
Does the event have to be in the evening?
No it doesn't. You can host an event at any time convenient for your audience. So you can hold an afternoon show for families or older people, for example.
